Privacy Policy

This Privacy Policy explains how HomeCommand ("we", "us", or "our") collects, uses, and protects information about you when you use our website at homecommand.ai and our application at app.homecommand.ai (collectively, the "Service").

1. Who We Are

HomeCommand is a document intelligence platform for homeowners. We help you organise and understand your property by processing documents such as inspection reports, appraisals, home warranties, and seller disclosures using artificial intelligence.

HomeCommand Inc. is the legal entity operating this Service. Our registered address and contact details are set out in Section 10.

2. Information We Collect

2.1 Account and identity information

When you create an account we collect:

  • Email address
  • Display name (if you provide one)
  • Authentication credentials (we never store your raw password; passwords are hashed and managed by our authentication provider)
  • If you sign in with Google: your Google account ID and email address

2.2 Property and address information

When you add a property to your account we collect:

  • Property address (street, city, state, postal code)
  • Geographic coordinates (latitude / longitude) derived from your address via a location service

2.3 Documents you upload

When you upload a PDF document (inspection report, appraisal, home warranty, or seller disclosure), we store the file on our servers and process it using AI to extract text, images, and structured data. The extracted data — including issues, component conditions, equipment details, and warranty information — is stored in our database and displayed in your dashboard.

Important: Your documents may contain sensitive personal and property information. Only you (and household members you explicitly invite) can access them.

2.4 Photos you upload

You may upload photos of your property, rooms, or issues. These are stored in our cloud storage and linked to the relevant issue or property record in your dashboard.

2.5 Chat and AI assistant messages

When you use the HomeCommand AI assistant (chatbot), your messages and the AI's responses are stored so you can review the conversation history. Your questions are processed against your own document data; they are not shared with other users.

2.6 Billing information

If you subscribe to a paid plan, we store the last four digits of your payment card and its expiry date for display purposes. Full card details are processed exclusively by our payment provider (Stripe) and are never stored on HomeCommand servers. See Section 4 for details.

2.7 Usage and technical information

We automatically collect standard technical information when you access the Service, including:

  • IP address
  • Browser type and version
  • Operating system
  • Pages viewed and actions taken (server-side request logs)
  • Timestamps of activity

We do not currently use third-party analytics tools (such as Google Analytics) on the HomeCommand application. If this changes, this policy will be updated and a cookie banner will be displayed.

2.8 Information you provide in correspondence

If you contact us by email or through a support channel, we retain that correspondence in order to respond to you and improve our service.

3. How We Use Your Information

We use the information we collect to:

  • Provide the Service — process your documents, populate your dashboard, run maintenance schedules, enable the AI assistant, and surface vendor search results near your property.
  • Authenticate you — verify your identity and keep your account secure.
  • Send transactional emails — account confirmations, password resets, trial notifications, billing receipts, and service updates.
  • Process payments — manage your subscription and billing.
  • Improve the Service — analyse aggregate usage patterns to fix bugs and improve features. We do not use your personal documents for model training without your explicit consent.
  • Comply with legal obligations — respond to lawful requests from courts or government authorities.
  • Enforce our Terms of Service — investigate and act on suspected violations.
  • Complete business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to the same privacy protections.

4. Third-Party Service Providers

We share data with trusted third-party service providers solely to operate the Service. These providers are contractually bound to use your data only for the purposes we specify. All providers we use are based in the United States.

Cloud hosting, authentication, and storage

Data shared: Account credentials, property data, documents, photos, and all application data

Purpose: Securely storing your account and all content you upload to the Service

AI document processing

Data shared: Content of the PDF documents you upload

Purpose: Extracting structured property data (issues, equipment, components) from your documents using artificial intelligence

Location and mapping services

Data shared: Property address; approximate location when you search for local vendors

Purpose: Geocoding your property address and returning nearby vendor suggestions

Transactional email delivery

Data shared: Your email address and the content of account, billing, and notification emails

Purpose: Sending account confirmations, password resets, billing notices, and service notifications

Payment processing (Stripe)

Data shared: Payment card details — processed directly by Stripe; we store only the last four digits of your card for display

Purpose: Processing subscription payments for Pro plans

We do not sell your personal information to third parties. We do not share your data with advertisers or data brokers.

5. Data Retention

We retain your personal information for as long as your account is active and for a reasonable period thereafter to allow account recovery or to comply with legal obligations.

  • Account data — retained until you request deletion of your account.
  • Documents and photos — retained for as long as your account exists. If you delete a document or photo, it is removed from your dashboard and scheduled for permanent deletion from storage.
  • Chat history — retained as long as your account is active; you may clear individual conversations at any time.
  • Billing records — retained for up to seven (7) years to comply with accounting and tax obligations, even after account deletion.
  • Server logs — retained for up to ninety (90) days for security and debugging purposes.

6. Security

We implement appropriate technical and organisational measures to protect your information:

  • All data in transit is encrypted via HTTPS/TLS.
  • Authentication tokens are short-lived and managed by our authentication provider.
  • Database-level access controls ensure users can only access their own data.
  • Files in cloud storage are private and require authenticated access.
  • Payment processing is handled exclusively by our payment processor; card numbers never touch our servers.

No method of transmission over the Internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately at privacy@homecommand.ai.

7. Your Rights and Choices

Depending on where you live, you may have rights including:

  • Access — request a copy of the personal data we hold about you.
  • Correction — ask us to correct inaccurate or incomplete data.
  • Deletion — request deletion of your account and associated data.
  • Portability — receive your data in a structured, machine-readable format.
  • Objection / restriction — object to or ask us to restrict certain processing activities.
  • Opt out of marketing emails — click the unsubscribe link in any marketing email we send.

If you are located in California, you may also have the right to know what personal information we sell or disclose to third parties (we do not sell personal information), and the right to opt out of any such sale. Contact us at the address above for more details.

8. Children's Privacy

HomeCommand is intended for homeowners and adults aged 18 and over. We do not knowingly collect personal information from children under 18. If we learn that we have collected data from a minor, we will delete it promptly. If you believe a minor has created an account, please contact us at privacy@homecommand.ai.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email or an in-app notice. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised policy.
